This enterprise relied on Eloqua for managing high-volume B2B and internal communications campaigns. However, the platform had become operationally rigid, raised GDPR compliance concerns, and lacked critical features such as lead nurturing, CRM integration, and modern automation.

Migration was inevitable, but business continuity was non-negotiable. Campaigns had to keep flowing with no disruption.

By aligning campaign enablement with GTM goals like LinkedIn whitespace outreach and event nurturing, and pairing Xerago consultants with internal power users (Two-in-a-Box model), we ensured rapid configuration and validation of all use cases in two clear phases.

Execution: Built for Continuity, Engineered for Change

Replacing a deeply embedded marketing automation system across business units, teams, and geographies isn’t just a migration, it’s a high-stakes, zero-error operation. For this global technology services enterprise, campaign execution was the lifeline. Dozens of campaign managers, hundreds of campaigns, and millions of email sends hinged on the old system every month.

So, we anchored the entire engagement around one non-negotiable goal: no disruption to business as usual.

To meet that bar, we adopted a phased implementation strategy. Our approach began with standing up two parallel environments, PROD and NON-PROD, on HCL Marketing Cloud. Into these, we deployed Unica v12.1.8, not just with the standard Campaign and Deliver modules, but also Plan, Journey, Link, COM, and Insights, enabling full-stack functionality from day one.

On the data side, we rebuilt the marketing contact universe from the ground up: two robust, clean, and well-modeled tables covering over 500,000 contacts and employees. Using MariaDB as the foundation, we scripted integrations with SAP (for employee data), Salesforce (for CRM sync), and ZoomInfo/RingLead (for enrichment). This ensured that when campaigns went live, they didn’t just run, they ran better than before.

Next came the campaign scaffolding. We developed reusable templates for all key scenarios: outbound event invites, multi-language newsletters, LinkedIn G2K whitespace campaigns, and internal employee communications. Each campaign was underpinned by dynamic segmentation and governed by master suppression lists that ensured compliance and relevance.

But this wasn’t just a tech deployment. We embedded Xerago’s “Two-in-a-Box” delivery model, pairing our consultants with client-side power users to co-create journeys, test data flows, and validate every campaign type. This collaborative design-build-validate loop accelerated trust and avoided the rework cycles that plague most migrations.

The real inflection point came during “Go Parallel”, where both Eloqua and Unica ran in tandem for a quarter. This let us stress test campaign readiness, validate reporting through Power BI overlays, and de-risk the final cutover. On Go Live day, campaigns executed from Unica without a single dropped lead, missed email, or data issue.

And we didn’t stop there.

While most implementations end with handover, we prioritized adoption. Our enablement strategy was built on a Train-the-Trainer model, no bloated manuals, just precise walkthroughs, job aids, and classroom sessions tailored to real user needs. Over 100 power users were trained not just on how to use Unica, but how to wield it to achieve their GTM goals, be it LinkedIn-driven prospecting or employee-wide event rollouts.
